Introduction

The Campaign section is the center of your communication efforts. Here you will compose and schedule your campaign, and select the format of each message.

The timeline displays each message in your communication campaign, with its date, title, and format. Here you can edit and re-order your messages, or create new ones by clicking the Add New button.

Types of communication channels

Varying your methods of communication allows you to better reach your diverse employee population and drive home your messaging. The more you communicate, the more likely your employees will connect with your program or initiative. Let’s look at some of the different ways you can reach your workforce with Tivian Communicate XI (CXI).

Email: This is the preferred method of communication for most companies. You can create engaging, branded emails that can cut through the noise and reach your employees via desktop or mobile device.

 Poster: Print formats like posters can reach deskless employees in high-traffic areas in your workspace, such as a breakroom or restroom.

Postcard: Mail postcards to your employees’ homes or place them on their desks at work. This provides a physical takeaway about the campaign to bring home and share with family.

Text Message: Text messages are helpful for critical or time-sensitive messages and for reaching remote or deskless employees.  

Web Banner: This is a great way to get your message onto your intranet site or web portal. A web banner acts as an “online billboard,” advertising your campaign in a place already frequented by employees.

 Trackable Asset Link: Paste a web link, text keyword, or QR code that links to your CXI content onto any existing communications, such as newsletters, brochures, and print flyers. Track the link’s engagement within the Analytics section of CXI.

Apps: Slack and Microsoft Teams

The Task option is an internal message that appears in your timeline and helps you organize your campaign. Tasks are only visible to team members of that specific Communicate Journey. They are not visible to your campaign audience.

 

Creating a campaign entry

The following steps are the same for any message type that you select. To view the specific instructions for a particular format, read the Create a(n) article for that message type.

    1. Start in the Campaign section of your journey. The messages that are part of that specific journey are displayed, here.
    2. Click the Add New button in the top right-hand corner.
    3. A pop-up window will appear with the available various message types. Email is selected by default, but you may change this to any message type you would like to create.
    4. Click on the Create button to create the message.
    5. Once your message is created, it will open automatically to its Status tab. The Status tab will tell you the status of your message and whether it’s ready to send. It will also provide you with fields to compose your message.

Message Status & Properties

Each message has four tabs with the following properties:

  • Status: provides you the current status of the message (if it’s ready to send, needs attention, or has been sent)
  • Properties: Allows you to edit various delivery settings:
    •  Type: Select the type of the message
    • Audience: Shows which audience this email will be delivered to (you may change this in the journey’s Preferences tab)
    • Deliver: Select the date on which the message will be delivered
    • Reminder: Select a relative date for Communicate XI to remind notification recipients of this message’s impending delivery
    • Destination: Set a destination for the clickable call to action button in your email. This may be a piece of content within the Journey, or an complete, external URL (including protocol prefixes such as http:// or https://)

Composing your message

The following fields may appear depending on your selected channel. These contain the words your audience will see. Here are some tips and best practices for composing your varied communications.

      • Subject: Keep it short and sweet. Applies to emails, posters, postcards, and web banners. If texting, this field will serve as your entire text message
      • Message: Keep it short and to the point, while also driving your audience to act. This section applies to emails, posters, and postcards.
        • Text in the message body can be formatted and additional links applied
      • Call to Action: The text that will ask your employee to click the link and go to the experience. You will want to include an act for them to do, like “Click Here.” Emails, posters, postcards, and web banners have a Call to Action.
      • Share Links: The web link, text keyword, and QR code can be copied and shared on your company-created messages. Only trackable assets have share links.

Test your message

      1. Once you click Save, click back into the messages’ edit window and you will see a preview to the right. If you click on it, you can view it to see how it will appear to your audience. This applies to all channels except trackable assets.
      2. At the top of the preview, you will see Send a Test, click that to send yourself and notification recipients a test of that message. This option applies to emails, posters, postcards, and text messages.
        • Web banners have a Send Embed Code option for you to test the web banner.
        • You can test a trackable asset by copying the web link and pasting it in a blank browser window.
      3. Any changes you make to the message will be reflected in real-time in the preview before you click Save. Don’t forget to click Save once you are finished making your edits to the message.

Duplicating a message

Leveraging your existing messages can help you save time. To do this, duplicate your message and only edit what you want to change.

      1. Open the message you want to leverage and go to the bottom, click on the stacked papers icon, in between the audience icon and the trash icon.
      2. This will create a copy of that message.
      3. Go into the copied message and edit as needed.
      4. Click Save once you are finished editing.

Deleting a message

      • To delete a message, click on the message and click the trash icon at the bottom. It will be removed from your timeline. This is a permanent action.

Tracking your engagement

When tracking your messages in the Analytics section, keep the following in mind:

  • Your message will be represented by the title you gave it, (not the subject line) as well as the icon representing the type of channel used.
  • See which communication methods are receiving the most engagement and create new messages that are similar or go hand in hand with the successful approaches.

Best practices

  • Title your message first with the type and then what content asset it is pointing to. As you’re setting up your campaign, it will help keep you organized and help locate your messages easily. An example is “Email: Manager’s Worksheet.”
  • Engage your employees by sending them messages in different formats that are relevant to them.
